Growing MFD teams

Everyone knows their clients and their list.

The second person you hire is the moment a practice stops fitting in one head. GrowOn gives each person their own clients, their own list and the right level of access — and gives you a view across all of it without asking anybody for an update.

Tasks. My tasks, the team's, unassigned and overdue — with yesterday's routine completion, person by person.

If you now run a team

The problems change when the second person arrives.

None of these are people problems. They are what happens when the work is shared but the record of it is not.

“Any update on that?”

Half your week goes on asking three people what happened, and the answers arrive as messages you then have to remember on their behalf.

“Whose client is this?”

Two people ring the same family inside a fortnight, and another family hears from nobody — because ownership lives in a conversation, not in a record.

“I thought you were doing it.”

A request comes in, somebody says they will handle it, and three days later no one can say whether it was ever done.

“Should a new advisor see everything?”

You want people working independently without handing every new joiner the net-worth column in their first week.

What changes

Clear ownership, honest queues, and no status meeting.

Roles and ownership

Four roles. Nothing to design, nothing to get wrong.

Everyone signs in as themselves and holds one of four roles — Owner, Admin, Advisor or Ops. They are fixed on purpose: there is no permission matrix to invent when you hire, and no one-off exception to unpick a year later when somebody leaves.

Every client can be assigned to a relationship manager, so an advisor opens My clients and sees the people they are genuinely answerable for. Operations staff work across the whole book, and never see net worth, income or commission.

  • Owner, Admin, Advisor and Ops, each with a defined set of capabilities
  • A relationship manager on the client record, so the answer to “whose client?” is written down
  • Assigning clients needs the team-management capability, so ownership does not drift

Shared work and who sees it

Nothing belongs to nobody — and you choose who sees which clients.

One shared queue holds every job the firm owes, with four views: my tasks, the team's, unassigned and overdue. Anyone signed in can claim from the unassigned queue, so work that arrives without a name on it still gets picked up. Every client request carries a number, an owner, a status and its age in days.

Who sees which clients is one decision for the firm, not a switch per person. Everyone can see the whole book, or advisors and admins can be limited to their own clients — and when you choose the second, the restriction is applied in the database rather than by hiding buttons, so lists, reports and exports all narrow together.

  • Two visibility modes, chosen once for the firm and changeable later
  • Owners and operations staff always see the whole book; advisors and admins can be limited to their own clients
  • Every change and every comment kept in order, with who did it and when

Routines and completion

See what got done without asking anyone.

Set a routine once — every morning, every evening, weekly, monthly, every few months, or on dates you type — and dated items appear on the right person's list by themselves. A new firm starts with fifteen working routines on day one.

Then you can stop chasing. A manager sees, person by person, how much of yesterday's list actually got done and who is keeping their end-of-day discipline. Tell GrowOn when the office is closed and a closed day is skipped, not counted as a miss.

  • Seven statuses, including waiting on client and missed, so a queue never lies about why nothing moved
  • Each person's checklist can be back-dated, so yesterday's misses get fixed honestly
  • Task completion by person is one of the twenty-six reports
  • Owners can look at any one person's day; everyone else sees their own
  • Once you connect the firm's own WhatsApp number, overdue tasks can reach the person responsible there — your staff, never a client

Getting started

Four steps to a team that runs itself.

The order matters more than the speed: get ownership right first, and everything after it — lists, reports, routines — lands on the correct person by itself.

  1. 1

Bring the book in, then name the owners

Import your clients, then assign each one to the person who actually looks after them. Anything unassigned stays in a shared pool that anyone can pick up.

  2. 2

Add your team and pick their roles

Owner, Admin, Advisor or Ops, each with their own login. Operations staff never see net worth, income or commission — that is fixed by the role, so there is nothing to remember to switch off.

  3. 3

Set the rhythm and the routines

Your tiers and cadences, the onboarding checklist, and the morning, evening, weekly and monthly routines each person should be ticking.

  4. 4

    Stop asking for updates

Everyone works their own list. You look at completion per person, the overdue view, and — when you need to — any one person's day.
